Role Purpose:

To manage, maintain and enhance the assigned Portfolio by offering end to end lease management services of highest standards by taking ownership of each service and transaction with proper follow up, actions to ensure establishing and fostering positive business relationship with the customers.


Key Task and Responsibilities:

 Visits newly taken over buildings, understand property condition and prepare parking list.
Coordinate with Admin team to create the units for newly taken over building in the system & governmental portals.
Manage leasing process for new leases and lease renewals including but not limited to negotiating rental rates and terms and conditions for new leases, tenancy renewals and/ or lease terminations as per defined terms and conditions and rental limits/range as per the Standard Operating Procedures / Manuals of the Leasing Department.
Continuously strive to achieve and exceed agreed productivity and KRA targets in line with business objectives that include liaising with tenants as well as owners and maintaining optimum occupancies of tenants, timely collections of rents and all services charges as per lease agreements and maintain optimum customer satisfaction (tenants and owners).
Optimize tenancy ageing and number of unrenewed lease contracts.
Handle tenant’s queries via email and phone efficiently & effectively and ensure their resolution. Prompt attendance of calls, emails, and walk-in queries. Complaint(s) ratio & JIT ‘Just in time’.
Handle tenant violations and issue violation notices where applicable.
Advise tenant on possibility of rent reduction, holding cheques once requested by tenants while adhering to the defined rental rates and communicating the same via email.
Arrange for and coordinate lease termination, vacating procedure along with preparing its move-out NOC. Generate clearance report for both, tenant, and Accounts departments to enable refund of tenancy security deposit.
Coordinate with maintenance department for the inspection of vacated property.
Provide invoices to tenants including tenant’s utility in timely manner.
Ensure that all records of customer interactions and documentation is properly and timely maintained in the system as per the defined processes.
Coordinate with finance team regarding dishonored payment within the departmental time frame set as a procedure and prepare statement of tenancy outstanding payments prior to filing legal case.
Handle the collection of bounced cheques by following up with tenants / collection vendors.
Attend force evictions with the lawyer where applicable.
Handle the collection of utility invoices & any open outstanding.
Coordinate with law firms and Submit new legal cases and update the system accordingly.
obtain update on ongoing cases and update the system accordingly.
Submit closure requests for the tenants who settled their dues.
Prepare and submit the periodic (weekly & monthly) property management report and required analysis.
Act as Client Relationship officer and handle the relationship between KPM & landlords such as but not limited to:
Coordinate with landlord and collect the documents for the properties to be managed.
Understand landlord concerns and coordinate internally to solve it.
Obtain necessary approvals from landlord.
Submit property report to landlord and answer his queries on it.
Meet landlord on timely manner to maintain strong relationship.
Any other work related to landlord.
Any other assignment / ad-hoc requirements relating to leasing department allocated by the line manager.


Experience, Knowledge and Skills:

 Educated at degree level in commerce/ Law/finance/ accounting/ with minimum 4 years post qualification experience of public relationship and reporting.
Relationship with customer centric approach
Excellent record-keeping and data entry with basic financial / accounting knowledge
Very organized, result oriented and detailed oriented.
Ability to prioritize, meet stringent deadlines and work under pressure.
Demonstrated experience of using Microsoft office, particularly Excel and Word, working in an ERP environment.
