Role Purpose:

To ensure accurate data entry, system updates, and effective utilization of the Computer-Aided Facilities Management (CAFM) system for tracking, managing, and reporting on FM operations such as maintenance requests, work orders, asset management, and preventive maintenance schedules.


Key Task and Responsibilities:

  • Operate and maintain the CAFM system (e.g., Maximo, Archibus, Concept Evolution, FM Systems).
  • Input and update service requests, work orders, asset data, and preventive maintenance schedules.
  • Generate daily, weekly, and monthly reports for management and client review.
  • Ensure correct assignment of work orders to technicians and contractors.
  • Monitor job progress and follow up on completion timelines.
  • Maintain up-to-date documentation of assets, service history, and contract SLAs.
  • Coordinate with helpdesk, supervisors, and engineers to ensure accurate job logging.
  • Provide system support to end-users and escalate technical issues to the IT/CAFM Administrator when needed.
  • Assist with audits by ensuring data accuracy and recordkeeping.
  • Perform quality checks to verify completeness and accuracy of system inputs

Experience, Knowledge and Skills:

  • Diploma or Bachelor's degree in IT, Engineering, or related field.
  • Certification or training in CAFM software (preferred).
  • Proficient in CAFM platforms and MS Office (Excel, Word, Outlook).
  • Attention to detail and high data accuracy.
  • Good communication and coordination skills.
  • Familiarity with FM service operations and workflows.
  • Ability to prioritize and work under pressure in a fast-paced environment.
  • Minimum 2–3 years’ experience in a similar role within the Facility Management industry.
