Role Purpose:

The Assistant HR Operations Manager supports the day-to-day HR operations function across the organization. The role ensures accurate execution of core HR processes such as recruitment coordination, onboarding, documentation, visa/labor card processing, payroll inputs, and HRMS record accuracy. This position works closely with the HR Manager to ensure compliance with UAE labor laws and organizational policies, supporting employee lifecycle transactions and HR service delivery to internal stakeholders.

Key Task and Responsibilities:

HR Operations:

• Coordinate all operational HR transactions in HRMS including employee movements, record updates, and report generation.
• Manage employee documentation, including contracts, visa renewals, and labor-related records, ensuring compliance with UAE regulations.
• Liaise with typing centers, PROs, and visa desk to manage end-to-end onboarding formalities.
• Ensure employee files (physical and digital) are complete, updated, and audit ready.
• Project and camp allocation for new joiners.

Recruitment Support:

• Assist in coordinating interviews, onboarding schedules, and candidate documentation.
• Maintain accurate tracking of MRs, IMMO approvals, and recruitment dashboards.
• Coordinate with recruitment agencies (especially for blue-collar hiring) on candidate lists, travel schedules, and visa processing.

Employee Relations and Communication:

• Respond to employee queries regarding payroll, leave, visa, and onboarding.
• Support employee engagement initiatives by coordinating activities and feedback collection.
• Escalate unresolved employee concerns to the HR Manager with proper documentation.

Payroll and Attendance:

• Validate and submit monthly attendance sheets and payroll inputs for HR Manager review.
• Coordinate with IT and Camp Administration for access card management and overtime approvals.

Compliance and Reporting:

• Prepare regular HR reports for operational KPIs, visa expiry reports, and workforce headcount updates.
• Ensure adherence to compliance standards for audits and labor inspections.

Training and Process Improvement:

• Support HR process documentation and SOP compliance.
• Identify inefficiencies in HR operations and suggest practical improvements.

Experience, Knowledge and Skills:

Education: Bachelor’s degree in human resources, Business Administration, or related field

Experience:

• 4-6 years of experience in HR Operations in UAE preferably facilities management
• Experience in UAE labor law compliance and working with government entities.

Skills:

• Strong administrative and organization skills.
• Familiarity with UAE labour law and visa processes.
• Effective communicator with ability to handle employee requests.
• Proficiency in Microsoft Office Suite and HR software.
