Role Purpose:

The Transport Coordinator is responsible for efficiently organizing, managing, and overseeing all transport operations related to FM projects. This includes coordinating with suppliers, drivers, government entities, and internal departments to ensure the timely, safe, and cost-effective transportation of operatives and staffs. The role also involves maintaining transport-related documentation, ensuring regulatory compliance, and supporting continuous improvement in transport services.


Key Task and Responsibilities:

  • Analyse and plan transportation needs for FM projects and initiate requisitions for outsourced services, leasing, or purchasing of commercial and staff vehicles.
  • Coordinate with procurement teams and suppliers to ensure timely delivery and documentation for vehicle arrangements in line with end-user requirements.
  • Monitor and maintain accurate records and track vehicle performance, including fuel consumption, mileage, idle time, running hours, maintenance schedules, driver logs and traffic violations.
  • Ensure timely renewals of vehicle registrations, branding permits, road permits, and coordinate with PROs and RTA/ITC to avoid penalties.
  • Manage internal vehicle handover and transfers according to company policies and procedures.
  • Ensure outsourced transportation services are utilized efficiently and offer value for money.
  • Liaise with suppliers to ensure pre-lease and replacement vehicles are arranged without delays.
  • Review and verify supplier invoices prior to initiating payment processes.
  • Respond promptly to transportation-related incidents or delays, and communicate resolutions effectively.
  • Optimize routes and schedules to enhance operational efficiency and reduce costs.
  • Utilize transport management systems (TMS), GPS tools, and other logistics software for daily operations.

Experience, Knowledge and Skills:

  • Diploma or bachelor’s degree in Logistics, Supply Chain Management, or a related field.
  • Experience in facilities management, logistics, or a high-volume transport environment.
  • Good knowledge of UAE transportation regulations and government processes.
  • Demonstrated experience in transportation or logistics coordination.
  • Strong organizational skills and the ability to manage multiple tasks efficiently.
  • Effective communication and problem-solving skills.
  • In-depth understanding of transportation laws, health & safety standards, and operational compliance.
  • Proficient in MS Office and transport/logistics systems (e.g., SAP, TMS, Fleet Management Software).
  • Ability to work in a fast-paced environment and adapt to shifting priorities.
