Role Purpose:

The supervisor - Soft Services is responsible for overseeing and managing the day-to-day delivery of soft services, including cleaning, pest control, landscaping, and waste management, ensuring the highest standards of service and customer satisfaction in line with client expectations and organizational policies. The Supervisor Directly Supervises Site Team leader and Operative and Soft FM scope to deliver high standard services within TFM following BICSc Best practices.


Key Task and Responsibilities:

 Daily Operations Management:

  • Ensures BICSc standards are understood and delivered on all contracts, with documented training and action plans in place.
  • Follows and Deliver training for work method statements, work instructions, quality systems
  • Developed refresher training plans and On the Job site training plans and calendar
  • Promoted excellent performance by rewarding and recognising high performers and those who demonstrate company values.
  • Supervise and monitors the delivery of cleaning services
  • Supervise forecasting of supplier budgets and costing to enhance budgetary efficiencies.
  • Supervise and direct downlines’ best practices
  • Supervise chain of Soft FM sub- contractors’ performance and coordination at site
  • Soft FM Stocks and inventory management and planning forecast of supplies and coordinate with FM and administrator on raising requests
  • Consolidate Soft FM supplier services and reports
  • Ensures standardized documents are in place and is used uniformly
  • Supports Quality, Health, Safety and Environment standards and practice
  • Close out SSPCR inspections non-conformance and quality review with FM

Resource Management:

  • Manage and allocate resources, including personnel, equipment, and materials, to ensure optimal use for the site.
  • Ensures all operatives are BICSc trained, report non-conformance to Supervisor to schedule training for standard competency requirement as immediate.
  • Ensures ground staff are aware of best sustainable practices for efficiency of use of Disposable personal protective equipment, cleaning consumables which impacts environment and enhanced waste handling practices.
  • Delivers BICSc training and assessment and liaison with KFM Training Academy Trainer to collate reports being sent to BBS for consistent certifications of operatives as a requirement for corporate membership renewals.

Safety & Compliance:

  • Ensures ground delivery Safe work and cleaning activity best practices
  • Supports Health, Safety and Environment standards and best practices.

Quality:

  • All Soft documents used are company controlled and approved
  • Auditable checklists are updated timely.
  • Delivers training and assessment and liaison with KFM Training Academy Trainer to collate reports being sent to the accreditor for consistent certifications of operatives as a requirement for corporate membership renewals.

Branding:

  • As Ambassadors, Monitors Grooming and Hygiene standards of Soft FM operatives and their uniform branding guideline and ensure this is followed
  • Ensures all members follows Grooming and hygiene guidelines.

Customer Satisfaction:

  • Maintain a high level of customer satisfaction by communicating effectively and ensuring timely resolution of any site issues to line manager who then reports to the client.

Quality Control:

  • Implement and oversee joint inspections, ensuring all work meets the highest industry standards.

Comply with the use of organisational procedures and policies governing Operational Services functions.


Experience, Knowledge and Skills:

  • High School diploma. Additional FM or equivalent experience qualification in Facilities Management beneficial.
  • Able to read and write and with good command of English.
  • Minimum 2 years’ experience in a similar role within a property/ facilities management company.
  • PBICSc or LBICSc holder is an advantage.
  • UAE Manual driving license (number 3 and 5) is preferable.
  • Preferably with previous proven record of versatility and hands on experience in Soft FM Portfolios and ground; strong communication and interpersonal skills as the job will involve in training with different nationalities.
