Role Purpose:

Bid Officer is responsible to craft clear, persuasive, and technically accurate content for bid proposals in the Facilities Management industry. This role involves translating complex technical information into compelling narratives that align with client requirements and highlight the company's strengths. The Senior Bid Technical Writer ensures that all bid documents are comprehensive, meet submission criteria, and effectively communicate the value proposition to potential clients, thereby increasing the likelihood of winning contracts.


Key Task and Responsibilities:

 

Content Development: Write, edit, and proofread technical content for bid   proposals, ensuring clarity, consistency, and alignment with client   specifications. Develop and maintain a library of standard bid content,   including case studies, project descriptions, methodologies, and other   relevant materials. Tailor content to reflect the unique aspects of each bid,   highlighting the company’s strengths and competitive advantages.

Collaboration and Information   Gathering: Work closely with bid managers,   subject matter experts, and other stakeholders to gather the necessary   technical information for bid proposals. Participate in kick-off meetings,   bid strategy sessions, and proposal reviews to ensure content is aligned with   the overall bid strategy. Conduct interviews with technical teams to   accurately capture and articulate complex technical processes, solutions, and   capabilities.

Quality Assurance: Review and revise bid content to ensure technical accuracy,   consistency, and compliance with RFP requirements. Ensure that all written   materials undergo thorough proofreading to eliminate errors and enhance   readability. Implement feedback from internal reviews and client debriefs to   continuously improve the quality of bid submissions.

Proposal Structure and Layout: Organize and structure bid documents in a clear, logical, and   visually appealing format. Ensure all bid submissions are compliant with   client requirements and adhere to company branding and quality standards.   Collaborate with graphic designers and document specialists to enhance the   visual presentation of bid proposals.

Continuous Improvement: Stay updated on industry trends, best practices, and client   expectations to continually enhance bid content and strategies. Participate   in post-bid reviews to gather lessons learned and apply them to future   proposals. Develop and deliver training for team members on best practices in   technical writing and bid preparation.

Experience, Knowledge and Skills:

  • Bachelors level Degree or equivalent in engineering, or Business or FM related discipline.
  • 5+ years of experience in technical writing, preferably within the facilities management or related industry.
  • Relevant technical and commercial qualifications, certification and/or accreditations relating to the Facilities Management Sector are a plus.
