Role Purpose:

The Procurement Sub-Contractor Specialist is responsible for managing the procurement and administration of subcontractors, ensuring that the company’s projects are supported by high-quality services at the best possible value. This role involves sourcing, negotiating, and managing contracts with subcontractors, ensuring compliance with company policies, project timelines, and legal requirements.


Key Task and Responsibilities:

Subcontractor Sourcing and Selection: Identify and source qualified subcontractors based on project needs and requirements. Conduct market research to evaluate potential subcontractors, assess their capabilities, and verify credentials. Issue requests for quotations (RFQs) or proposals (RFPs) to prospective. Subcontractors and assess their bids. Supporting bidding team in new tenders by obtaining estimated quotations for specialist services.

Contract Negotiation and Management: Negotiate contract terms, pricing, and deliverables with subcontractors to ensure favorable outcomes. Draft, review, and finalize LOA, subcontract agreements and PO’s  in collaboration with Commercial and project teams. Ensure that contracts are executed in compliance with legal, financial, and regulatory standards.

Performance Monitoring: Monitor subcontractor performance against agreed deliverables, timelines, and budgets.
Conduct regular reviews and assessments of subcontractor work to ensure quality standards are met.
Address and resolve any issues, delays, or disputes related to subcontractor performance.

Cost and Budget Management: Work closely with the Commercial and Operation teams to ensure subcontractor agreements align with project budgets. Identify opportunities for cost savings and negotiate contract amendments when necessary. Ensure subcontractor payments are processed in accordance with contract terms.

Compliance and Risk Management: Ensure all subcontractors adhere to relevant health, safety, and regulatory standards. Maintain up-to-date records of subcontractor certifications, insurance, and other compliance-related documents. Assess and mitigate risks associated with subcontractor performance and project execution.

Relationship Management: Develop and maintain strong working relationships with subcontractors to ensure long-term partnerships. Serve as the primary point of contact for subcontractors, addressing concerns and facilitating effective communication. Manage the onboarding process for new subcontractors to ensure smooth integration into projects.

Documentation and Reporting: Maintain accurate and detailed records of all subcontractor agreements, performance reviews, and contract modifications. Generate reports on subcontractor performance, cost analysis, and contract compliance for internal stakeholders. Assist with audits and provide documentation as required.

Collaboration with Internal Teams: Collaborate with project managers, engineers, and other internal stakeholders to define subcontractor needs and specifications. Work closely with legal, finance, and compliance teams to ensure all contractual obligations are met. Assist in the development and improvement of subcontractor management processes.


Experience, Knowledge and Skills:

A degree in Business Administration, Procurement, or Supply Chain Management is preferred.
Previous experience in an administrative or procurement role.
Strong organizational skills with attention to detail.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ERP Software
Ability to manage multiple tasks and prioritize work effectively.
Experience with FM procurement
Basic understanding of procurement processes and supply chain management.
Strong problem-solving and analytical skills.
Ability to work collaboratively within a team environment.
