Role Purpose:

Responsible for handling front office reception and administration duties of SOL Pilates.  Attending all customers, Answering phones and receiving inquiries of visitors and ensuring to communicate to relevant employees with feedback. Provide secretarial and administrative support to the Seniors of SOL Pilates.


Key Task and Responsibilities:

Switch board Handling:
• Attend to all the incoming calls and operate the switchboard efficiently and route calls to specific people as required.
• Prepare and maintain call log reports on daily basis.
• Attending calls from customers, maintaining track

Reception Management:
• Ensure that the reception area is always well organized and clean.
• Attend the guests and visitors warmly and effectively and arrange meetings.
• Ensure to not leave the reception area unattended and inform colleagues in case of emergency.

Administration:
• Support the Team Member in all kinds of administrations and secretarial work as and when required. Meeting arrangement, taking meeting minutes etc.
• Ensure efficient and effective SMS & Email management (auto and manual) to customers through system and ensure maintaining track for the fee updates. Liaise with IT Dept. and provide update as required.
• Handling outgoing and incoming couriers for the company and maintaining its data and records up to date as per required.
• Tracking and maintaining periodic customer satisfaction survey / reports
• Performing / updating basic data entries in EPMS as per the instructions of line manager


Experience, Knowledge and Skills:

• Educated at degree level with minimum 3 years post qualification experience of administration/reception management/ customer relationship.
• Excellent communication skills, maintaining of effective customer relationships with customer centric approach.
• Ensure confidentiality of data and communications, efficient collaboration and teamwork and integrity and trust.
• Excellent record-keeping and basic data entry and efficient and effective filing experience
• Demonstrated experience of using Microsoft Office, particularly Excel, Word & PowerPoint.
