Role Purpose:
The Store Manager is responsible for establishing and thereafter managing a fully functional central store for the organization's Facilities Management operations. This is a build-from-scratch role: the incumbent will design the store layout, material coding structure, inventory system, and standard operating procedures, then run day-to-day store operations covering receipt, storage, issuance, and control of MEP spares, tools, consumables, PPE, and other FM-related materials across multiple sites and contracts.
Key Task and Responsibilities:
Central Store Set-Up (Greenfield Scope)
- Plan and design the physical layout of the central store, including racking, shelving, bin locations, and zoning by material category (electrical, mechanical/HVAC, plumbing, civil, cleaning consumables, PPE, tools & equipment, hazardous materials).
- Develop a material coding / SKU numbering system aligned with FM asset and trade categories, in coordination with Procurement and CAFM administrators.
- Select and configure the inventory management system (ERP/CAFM module or standalone system) — item masters, UOM, min-max levels, and reorder points.
- Establish standard operating procedures (SOPs) for goods receipt, put-away, issuance, returns, transfers between sites, and stock disposal.
- Set up bin cards, labeling, signage, and physical stock identification systems.
- Define store access control, security, fire safety, and HSE housekeeping standards (5S methodology).
- Conduct an initial baseline stock count/audit once materials are received into the new store and establish opening balances.
- Coordinate space planning, storage equipment procurement (racks, pallets, bins, forklifts/trolleys) and any minor fit-out required to operationalize the warehouse.
Inventory & Stock Control
- Maintain accurate, real-time stock records reconciled against physical inventory.
- Conduct scheduled cycle counts (daily/weekly for critical items) and periodic full stock takes.
- Investigate and resolve stock discrepancies; document root causes and corrective actions.
- Apply FIFO/FEFO principles for consumables and shelf-life-sensitive materials.
- Monitor min-max/reorder levels and trigger replenishment requests proactively to avoid stock-outs on critical spares.
- Identify slow-moving, excess, and obsolete stock; recommend write-off, transfer, or disposal actions.
- Maintain and Tag CAPEX items and track the movement.
Receiving, Issuance & Documentation
- Inspect incoming deliveries against purchase orders for quantity, quality, and specification compliance; process Goods Received Notes (GRNs).
- Issue materials against approved work orders / job requests / material requisitions, ensuring full traceability to site, contract, or cost center.
- Manage returns, defective/damaged material handling, and warranty claim coordination with suppliers.
- Maintain records for tools/equipment loaned out to technicians and ensure timely return.
- Maintain Material Safety Data Sheets (MSDS) for hazardous or chemical items stored.
Procurement & Vendor Coordination
- Raise purchase requisitions based on reorder points and upcoming PPM or project mobilization requirements
- Coordinate with the Procurement team on RFQs, lead times, and urgent/emergency material sourcing.
- Support planning of critical spares holding for AMC (Annual Maintenance Contract) obligations across FM sites.
- Support Planning and stocking HR Welfare Requirements including Uniforms, PPE items, Bedding items etc.
Reporting & Compliance
- Prepare and circulate periodic reports: stock status, ageing/obsolescence, consumption trends, and variance reports.
- Ensure store operations comply with company SOPs, HSE regulations, and internal audit/finance requirements.
- Support internal and external audits with accurate documentation and stock verification.
- Support month-end stock valuation in coordination with the Finance department.
- Identify , Segregating & Disposing the Scrape materials as per company policy.
- During Demobilization co-ordinate with Project team and arrange unused material Collection and storage for re-use of Tools and spare parts,
Team & Stakeholder Coordination
- Liaise closely with site storekeepers, buyers, CAFM administrators, and technicians across all FM contracts (e.g., multi-site facilities such as business districts, ports/economic zones, palaces, and commercial towers).
- Train and supervise store assistants/helpers as the store team grows.
- Act as the single point of contact for all central store-related queries from operations and project teams
Experience, Knowledge and Skills:
- Bachelor's degree or Diploma in Supply Chain Management, Logistics, Business Administration, or a related field.
- Minimum 5 years of experience in store/warehouse/inventory management, including at least 2–3 years within the Facilities Management, MEP contracting, or construction industry.
- Proven experience setting up a store/warehouse from scratch is highly preferred.
- Hands-on experience with ERP/CAFM/inventory systems (e.g., SAP, Oracle, Maximo, or similar platforms).
- Strong working knowledge of MS Excel and inventory control techniques (ABC analysis, EOQ, FIFO/FEFO, cycle counting).
- UAE experience strongly preferred; familiarity with UAE labor and HSE regulations.
- Valid UAE driving license preferred; forklift operation certification is an advantage
